Marketing and Business Development Coordinator

Position Summary

The Marketing and Business Development Coordinator is responsible for maintaining and supporting an efficient working environment on the company marketing and business development teams. The MBDC will manage communication channels among members of the assigned group, as well as other departments within the agency. The MBDC will also manage the workflow within the team to ensure jobs and opportunities are set up properly and work in progress is completed in a timely and efficient manner. The MBDC will report to the Business Development Director to coordinate all new business as well as support the activities associated with the company marketing initiatives (both internal and external) as directed by the VP of Marketing and Strategic Growth. The MBDC will participate in the planning, implementation and follow-up of such activities.

Primary Focus

Support company marketing and business development projects and activities.

Responsibilities

  • Coordinate internal and external meetings including writing agendas and diligently following up on deadlines, timelines, and action items
  • Support pipeline management
  • Assist in new client onboarding processes (open jobs, set up folders, organize files, obtain signatures, etc.)
  • Assist with follow up and execution SOWs, MSAs and other agreements and contracts
  • Create and maintain client lists and databases as well as manage prospecting activities in our CRM platform
  • Assist in reporting, tracking and communicating internal marketing and new business activities, including resourcing and benchmarking
  • Assist in creation of proposals, presentations and campaigns by assigning resources to tasks, routing feedback and revisions to necessary teams and maintaining schedules/timelines utilizing our workflow management system
  • Coordinate tradeshow/events for internal and external teams including creative concepts, logistics, travel, onsite support and post event follow up
  • Maintain status documents and participate in regular status meeting
  • Other duties as assigned by Business Development Director and VP

Qualifications

  • Degree in Marketing preferred
  • 1-2 years relevant experience in administrative or marketing role
  • Strong organizational and communication skills
  • Ability to drive projects and tasks to completion
  • Ability to manage multiple projects simultaneously
  • Desire to learn new skills and take on new challenges
  • Proficient with PowerPoint, Excel and Google Suite
  • Experience with HIVE or other project management software is a plus
